Privacy notice

This hub is the private working tool of the team organising MIT Hacking Medicine Malaysia 2026. It is run by PPCN on behalf of the organisers, First Experts Sdn Bhd and Purple Door Sdn Bhd. This page says, in plain words, what we store about you, why, who can see it, how long we keep it, and how to have it changed or removed.

What we store

  • Contact details: your name, work email address, title or role, organisation, WhatsApp number and website, if you give them.
  • Public profiles: the LinkedIn, Instagram, Facebook and X handles you choose to share, a picture and a one-line description.
  • Your part in the event: which activities, sponsor conversations, speaker slots or sessions carry your name, and the notes the team writes about that work.
  • Messages to the event's WhatsApp line, so the team can answer them.
  • A log of changes made in the hub, with the name of the person who made each change.

We do not store health information, family details, passwords or card numbers. Sign-in is handled by Google or by a link sent to your email; we never see a password.

Why

  • To run the event: know who does what, reach the right person, brief speakers and mentors, and keep one record instead of many spreadsheets.
  • To introduce you correctly in programmes, on stage and in event material, if you are a speaker, mentor, judge or partner.
  • To ask you to help promote the event on your own channels, only if you tick the box that says we may. You decide each time whether to share anything.
  • To decide who may open which part of the hub.

Who can see it

  • You can always see and change your own profile.
  • Members of the organising team with access to the Team page can see everyone's profile. What each role can see is set on that page and can be checked by anyone on the team.
  • Nothing here is public. We do not sell or rent your details, and we do not pass them to sponsors or other third parties without asking you first.
  • The services that store the data for us: Supabase (database and pictures), Vercel (the website), Google Workspace (documents on the shared drive) and Meta (the WhatsApp line). Each holds only what it needs to provide its service.

How long

Until six months after the event ends, unless you are on the team for the next edition or you ask us to remove your details earlier. Pictures and social handles are removed at the same time. The change log keeps names for the audit trail of decisions, but no contact details.

Your choices

  • Change or remove anything on your profile at any time.
  • Untick the promotion box and we stop asking.
  • To have everything about you removed, write to cn@ppcn.xyz. We confirm within a week.

This notice follows Malaysia's Personal Data Protection Act and, for people in Europe, the GDPR. If we change it, the date at the top changes and the team is told.
